Job Description

The Director of Finance and Administration contributes to the overall success of the organization by effectively managing all financial tasks for the organization.

Role and Responsibilities

  • Process all trade and supplier invoices for accurate project accounting and payment of same
  • Process all client invoices in a timely and accurate manner - distribute to client - follow up for payment
  • Develop, implement, and ensure compliane with internal financial and accounting policies and procedures. Process weekly timecards and liaise with external payroll company
  • Process all required remittances accurately and promptly - GST/ Source Deductions/ WCB
  • Create annual operating budget for approval by GM - track actuals to budget on a monthly basis and report to GM
  • Work in conjunctino with the Estimator/ Project Coordinator/ Project Manager to accurately track all project budgets vs actuals
  • Ensure all required project Change Orders are processed accurately and in a timely manner for all projects
  • Create company cash flow projections based on operating budget and approved projects - monitor and report to GM
  • Reconcile all bank accounts, credit cards, etc. on a monthly basis
  • Create and maintain a efficient electronic filing system
  • Other duties as assigned by the General Manager
  • Manage the acquisition of capital assets and ensure that assets are properly recorded, amortized, and disposed of as appropriate
  • Develop and implement policies and procedures to ensure that personnel and financial information is secure and stored in compliance with current legislation
  • Maintain financial records for each project in a manner that facilitates management reports
  • Ensure that accurate and timely financial statements are prepared in accordance with contract agreements with funders
  • Provide accurate and timely reporting on the financial activity of individual projects


  • Weekly - Provde the GM with an accurate A/P and A/R report complete with detailed explanation (if required), update cash flow projection based on new projects
  • Monthly - Provide the GM with accurate A/P, A/R, Income Statement, Operating budget vs actuals and project reports (budget vs actual)
  • Yearly - Provide year end reports to external accountant as required

Qualifications and Education Requirements

  • Minimum 5 years experience in similar position ( or working towards a CA or CGA designation)
  • Excellent communication skills
  • Excellent understanding of accounting principles
  • Strong computer skills including microsoft Office, internet and email programs, and an accounting based program
  • Able to organize and juggle competing priorities, meet deadlines, and have excellent time management skills
  • Able to operate efficiently in a small team environment

Preferred Skills

  • Previous experience in the construction industry
  • Customer service experience an asset
